Privacy Policy

This policy explains how CareerGenie collects, uses, protects, and deletes personal data, including the ATS and hiring-decision signals used to create Talent DNA.

1. Scope of this policy

This Privacy Policy applies to CareerGenie's website, recruiting platform, AI interview features, ATS integrations, candidate search, Talent DNA ranking, and related services.

CareerGenie may act as a data controller for website visitors, account users, and direct business contacts. For candidate and ATS data provided by an employer customer, CareerGenie usually acts as a processor or service provider on behalf of that customer.

    2. Information we collect

    We may collect the following categories of information:

    • Account and business data: name, work email, company, role, login details, communications, demo requests, and support messages.
    • Candidate and recruiting data: resumes, profiles, applications, interview notes, recruiter feedback, interview transcripts or summaries, hiring stages, shortlist decisions, source information, location, skills, employment history, and role context.
    • ATS and integration data: records, fields, events, status changes, candidate movement, and metadata imported from tools a customer connects to CareerGenie.
    • Usage and device data: product interactions, log data, browser type, IP address, approximate location, and diagnostic information.

    3. Talent DNA and hiring-signal data

    Talent DNA uses company-specific hiring signals to help rank candidates in a way that reflects how a company actually hires. These signals may come from past and future hiring decisions, ATS events, candidate outcomes, shortlist choices, interview feedback, recruiter actions, role requirements, and other data provided by the customer.

    We use these signals to infer patterns such as technical depth, leadership scope, startup experience, source fit, industry match, or other traits relevant to a customer's hiring preferences. Talent DNA is intended to support human decision-making, not to make final hiring decisions automatically.

      No data sale: We do not sell personal information. We do not use customer ATS data to train public or third-party foundation models without the customer's permission.

      4. How we use information

      We use information to:

      • Provide, operate, personalize, and improve CareerGenie.
      • Sync with ATS and workflow tools selected by customers.
      • Generate candidate rankings, Talent DNA signals, shortlists, interview summaries, and recruiting insights.
      • Maintain security, prevent abuse, debug issues, and monitor reliability.
      • Respond to support requests, legal requests, and user communications.
      • Comply with legal obligations and enforce our agreements.

      5. How we share information

      We may share information with:

      • Employer customers and authorized users who use CareerGenie to manage recruiting workflows.
      • Service providers that help us host, secure, analyze, support, or operate the service.
      • Integrated tools such as ATS or workflow systems when a customer connects them.
      • Legal or safety recipients when required by law, legal process, security needs, or protection of rights.

      6. Retention, deletion, and anonymization

      We retain personal data for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, and support legitimate business purposes.

      Customers may request deletion of workspace data, connected ATS data, candidate records, and Talent DNA-derived signals by contacting hello@careergenie.app. Where technically and legally feasible, we will delete or anonymize the requested data and stop using it for future Talent DNA outputs.

      Candidates may request deletion of their personal data. If the employer customer controls the data, we may forward or refer the request to that employer and help them respond. We may retain limited records where required for legal, security, backup, fraud prevention, or audit purposes.

        7. Your privacy rights

        Depending on your location, you may have rights to access, correct, delete, restrict, object to processing, or receive a copy of your personal data. You may also have rights relating to certain automated processing.

        To exercise these rights, contact hello@careergenie.app. We may need to verify your identity and, for candidate data controlled by an employer, coordinate with the relevant employer.

          8. Security

          We use administrative, technical, and organizational safeguards designed to protect personal data. No system is perfectly secure, so we cannot guarantee absolute security. If we become aware of a security incident affecting personal data, we will respond according to applicable law and contractual obligations.

            9. International processing

            CareerGenie may process information in countries where we, our customers, or our service providers operate. Where required, we use appropriate safeguards for international transfers.

              10. Changes to this policy

              We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify users or customers, such as updating the effective date or providing notice through the service.
